Business Office Coordinator Responsibilities ? Attends and participates in staff meetings, departmental head meetings, and other center meetings and sits on required committees. ? Attends the Daily Census Kickoff meetings and is required to print, review, sign, and file the Detailed Monthly Census Report by status for the previous business day(s), and the Action Summary Report. ? Reconciles Census with Clinical and Admissions; ensuring daily balancing by each payer type daily and verifying that total census is correct. ? Performs payer verifications and enters all recurring charges on the A/R profile. ? Generates Transactions (once all changes have been made in PCC) to update the system. ? Communicates Census information to the Pharmacy and Lab with copies of face sheets on all new admissions. ? Obtains information from admissions and assures accuracy and completeness. ? Faxes new admission information to the CBO using the fax cover sheet checklist. ? Maintains patient files for all new admissions (for readmissions, places paperwork in the existing chart). ? Contacts all new admissions to discuss financial information. ? Ensures that the deposit is done daily and faxed to the CBO using the fax cover sheet checklist. ? Maintains Medicaid Pending Log (unless there is a Medicaid Liaison). ? Meets with families to complete the Medicaid application and Rep Payee paperwork for Social Security, OPM, Railroad Retirement, etc. Estimates a private portion and enters this information in PCC (at this point, a Medicaid pending file should be started for each resident). Requires the families to submit the required documentation to the business office within 7 business days from the date of the initial meeting. ? Attends Medicaid appointments if necessary. ? Updates the Medicaid Pending Log on the intranet with any information received from the caseworker or family. Also makes sure that the log is complete and the information is accurate. ? Faxes Notice of Eligibility documents to the CBO so that the CBO can correct the payer type in PCC and complete all necessary adjustments. ? Upon receipt of a Change of Income from the Department of Social Services, the Business Office Coordinator should enter the updated private portion in PCC and fax a copy of the notification to the CBO. ?
